Project Assistant – Marie Stopes International
Marie Stopes International is an internationally renowned UK-based NGO specializing in reproductive health (RH) program design, implementation and management. MSI is a global network of more than 40 partner programs around the world. MSI, through its regional office in Australia (MSIA), has been working in China since 1998, as an executing agency for UNFPA’s RH/FP output, which aims to assist the Government of China move towards a client-centred, integrated reproductive health and family planning program. MSI provides monitoring, project management, and technical assistance, working with the National Population and Family Planning Commission, the Ministry of Health and a number of NGOs. As this project has had a high profile internationally, and requires execution at the highest possible standard.
As MSI’s Beijing-based CP6 RH/FP Project Assistant you will support the execution and administration of this project, working closely with and reporting to the Project Support Manager. The position is based in MSI’s China office in Beijing.

to ensure you provide exceptional administration, logistics and translation/ interpretation support for the CP6 RH/FP component in line with MSI’s Implementing Agency responsibilities and commitment to delivering projects on time and according to budget.
The purpose of this position is to undertake project administration, coordination and occasional translation/ interpretation responsibilities for CP6 RH/FP component such that MSIA fulfills project commitments and meets or exceeds the expectations of stakeholders.
Specifically your objectives are to:
· support comprehensive, quality and timely management of the project
· support timely project reporting in the agreed format – financial and narrative – including consolidating reports from implementing partners;
· provide translation of key documents and interpretation for the MSI-A team working on the program
The main duties of this position are to:
1. Provide project administration, coordination, and management in close cooperation with the Project Support Manager. Tasks include:
· Day to day project communication, liaison, administration and financial management with Project Support Manager, Project Implementing Agencies and UNFPA;
· Maintenance of project specific financial management systems in liaison with Project Beijing based Project Support Manager;
· Coordinate and prepare routine quarterly progress reports and work plans (financial and narrative)
· Prepare contracts for and payment of consultants
· Travel arrangements and bookings
· Providing (as accurate as possible) good written and oral translation for meetings, visits, training and other work-related activities
· Translate documents as requested
· Gather and analyze information and resources relevant to the program areas
2. In collaboration with Project Support Manager, contribute to the annual work plan development and review process, preparation of budgets and technical assistance plans to be implemented by MSI.
3. Accompany Project Support Manager (and other MSI-A staff as required) on project monitoring visits to project counties, providing interpretation and coordination support, and contributing to mission reports.
4. Any other aspects that contribute to the efficient running of the project and MSI and its future development.
EXPERIENCE AND QUALIFICATIONS
Skills and Aptitudes:
· Bachelors degree in health, social sciences, or development related field
· Demonstrated ability to communicate effectively in multi-cultural environment
· Versatile multi-tasker with the proven ability to organise and prioritise different tasks
· Fluent in reading, writing and speaking English and Mandarin skills
· Demonstrated skills in financial administration
· Demonstrated skills and experience in project administration (reporting, etc)
· Experience working or interacting with UN agencies and / or NGOs,
· Computer skills, including advanced spreadsheet (Excel), powerpoint, Word, email/internet and good keyboard skills,
· Think creatively, suggest solutions/alternatives and solve problems,
· Enthusiasm and keenness to learn
· A commitment to the Mission and Vision of MSI
